Privacy Policy

QuoteRanger (Ryan Hills, trading as QuoteRanger, “we”, “us”) connects to a business's own Gmail or Outlook account to track quotes and follow them up automatically. This page explains what we collect, why, and what you can do about it. It applies to anyone with a QuoteRanger account.
What we collect
- Account details — your name, email address, and a securely hashed password (we never store your actual password, and can't see or recover it).
- Business details — the business name you give us when you sign up.
- Mailbox connection — when you connect Gmail or Outlook, we store an encrypted access token so QuoteRanger can act on your behalf. We only ever request permission to read your sent mail and send new messages — never full mailbox access, and never permission to read your inbox or delete anything.
- Quotes you track — when you click “Track this quote” on a sent email, we store that email's content, the customer's name and email address, and the quote details (value, description) so we can follow it up. Browsing your sent mail to find a quote in the first place doesn't store anything beyond what's needed to show you that list.
- Replies and activity — when a customer replies to a tracked quote, we store that reply so it shows up in your quote's timeline, and so our AI can suggest whether it sounds positive or negative (see below — that suggestion is never treated as a confirmed sale).
How we use it
We use this information to:
- Send automatic follow-up emails on tracked quotes, through your own connected mailbox — never from a QuoteRanger domain, and never for anything you haven't tracked.
- Extract quote details, draft follow-up emails, and read customer replies using AI, so you don't have to write every follow-up by hand.
- Show you reports on what's been tracked, followed up, and confirmed as revenue.
- Provide support when you contact us.
AI processing
To extract quote details, draft follow-up emails, and classify replies, relevant email text is sent to our AI provider, Anthropic. It's processed only to power those features within QuoteRanger, in accordance with Anthropic's own data processing terms. We never let AI mark a quote as won or count it as confirmed revenue automatically — that's always a decision you make yourself.
Google API Services User Data Policy
QuoteRanger's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Gmail data is used only to provide the quote-tracking and follow-up features described on this page — never for advertising, never to train general-purpose AI models, and never shared with anyone beyond what's needed to run those features.
Who we share it with
We don't sell your data, and we don't share it for advertising. We use a small number of service providers to run QuoteRanger itself:
- Google and Microsoft — to read and send mail on your behalf, only for the mailbox you've connected.
- Anthropic — to power the AI features described above.
- Our hosting and database providers — to run the application and store your data securely.
Each only receives what it needs to do its job, and none of them are permitted to use your data for their own purposes.
Security
Mailbox access tokens are encrypted at rest (AES-256-GCM). Passwords are hashed, never stored in plain text. All traffic between your browser and QuoteRanger is encrypted (HTTPS).
How long we keep it
We keep your account and quote history for as long as your account is active. Disconnecting a mailbox stops QuoteRanger accessing it, but keeps your existing quote history intact (so reconnecting later doesn't lose anything) — reconnect or delete that history any time by contacting us. If you close your account, we'll delete your personal data within a reasonable period, except where we're required to keep it for legal or accounting reasons.
Your rights
You can ask us to access, correct, or delete your personal data, or export it, at any time by contacting us at contact@quoteranger.co.uk. If you're in the UK or EU, you also have the right to complain to your local data protection authority (the ICO, in the UK) if you're unhappy with how we've handled your data.
Cookies
We use one essential cookie to keep you signed in. We don't use advertising or third-party tracking cookies.
Changes to this policy
If we make material changes to this policy, we'll let you know by email or an in-app notice before they take effect.
